In order to deliver a presentation at the ELToc you will need to use the WindowsMedia Encoder. This free program allows you to speak to the audience via the Internet.

In order to use the Encoder, please download it from www.microsoft.com/windows/windowsmedia . Setup procedure for use with ELToc is outlined below; if you would like to test the Encoder at any stage before the conference (for example before submitting a presentation proposal), please contact us to arrange for a date and time at which you can stream your audio and we can make sure we can hear it correctly.

To use the Encoder, please follow these steps:

Step 1. Start the Encoder and choose the first option ("Broadcast, capture or convert a file using the New Session Wizard".) Make sure the option at the bottom of the screen - "Show this dialog box at startup" - is checked. Click OK.

 

Step 2. Choose "Broadcast a live event from attached devices or computer screen". Click Next.

 

Step 3. Do NOT check "Video", even if you have a webcam attached to your computer. This event is audio-only since many conference delegates will not have Internet connections fast enough to support video. The "Audio" option will already be checked and greyed out, meaning you cannot turn it off. This is fine. Click Next.

 

Step 4. In the HTTP port field, enter the number 1240. The Encoder will then display the URL for Internet connection and LAN connection. Please make a note of the URL for Internet connection; this is information we will need during the test call, as well as during the actual conference. Please note that this information (except for the http:// and the 1240) will change each time you start the Encoder if you are using a modem to connect to the Internet. You will need to communicate the current information to us once you have started the Encoder - during the conference, you will tell us this number using the MSN Messenger. If you have arranged for a test broadcast with us, please also use the MSN Messenger to let us know this number.

Once you have made a note of the information click Next.

 

Step 5. From the Profile Selection, make sure "Audio for low bit rate voice-oriented content (6.5Kbps)" is selected, and click Next.

 

Step 6. Check the box "Archive a copy of the broadcast", and save it somewhere onto your hard-drive. The name of the file should be your surname followed by .wma .

When you have set those options click Next.

 

Step 7. In the Display Information box enter the relevant information into the Title, Author and Copyright fields. Leave the Ratings and Description fields empty, then click Next.

 

Step 8. Ensure all the settings are correct on the Settings Review panel, then click Finish.

 

Step 9. The Encoder will inform you of the display settings. Click OK.

 

Step 10. You are now ready to start broadcasting your audio. The Start button will be flashing; click it to begin encoding. From this point onwards, other people will be able to hear you via the Internet.

If this is a test broadcast, inform the member of NetLearn Solutions staff of your http://xxxxxxxx:1240 details using the MSN Messenger. If this is the live, conference broadcast, inform the NLS technical staff-member of the same details. In both cases, the NLS staff member will inform you whether (s)he is able to hear you and whether your Encoder is therefore working correctly.

 

When your broadcast is finished, click the Stop button.
